Reception & Facilities Assistant, Guernsey (part-time)

 

Would you like to be part of our team? We're looking for an enthusiastic Reception and Facilities Assistant in Guernsey who'd like to work afternoons only.

In this role, you'll be a member of our front of house team, providing a professional service to our external and internal clients. If you're a strong team player, have great people skills and would like to join our friendly team, we'd really like to hear from you.

Main duties and responsibilities

• Greet reception callers, and connect them with the appropriate Mourant representative
• Answer incoming telephone calls, diverting the caller to the appropriate Mourant representative or taking and delivering accurate messages
• Ensure the arrival and departure of all visitors is recorded in the Visitors Book, and any visitor access passes are tracked and returned to reception
• Record all hand deliveries and Summonses in the relevant log books
• Conduct client verification procedures for Client Due Diligence
• Ensure the reception area is kept tidy and standards of professionalism within the area are maintained
• Prepare meeting rooms with refreshments when requested and tidy rooms on completion of meetings
• Arrange taxis as instructed, and provide accurate contact details/confirmations
• Assist with event set-up and coordination
• Complete ad-hoc administration duties as required, i.e. photocopying, scanning, incoming and outgoing mail/couriers
• Provide holiday/other absence cover for the other Receptionists within the team
• Liaise with external contractors, and the building Concierge, as necessary
• Support the Facilities Management team with office and local deliveries when required
• Ensure that archived documents are stored, recorded and retrieved in conjunction with the relevant people
• Ensure various supplies are well stocked, re-ordering where necessary, within internal guidelines
• Any other ad hoc duties as required 

Some lifting and physical transportation of documents may be required (e.g. archive boxes, court bundles etc.) 

Experience, skills & technical knowledge required

• Previous experience in a similar role
• Excellent verbal and written communication
• Discretion, confidentiality and good judgement
• A strong team player and a willingness to provide a high level of service to both external and internal clients
• Ability to manage and prioritise tasks and time
• A good level of user knowledge of the main Microsoft applications
• Strong interpersonal skills
• Strong attention to detail and accuracy
• Pro-active and service orientated approach
• Ability to work independently
